  • Once you have completed the 'Finalize your payment details' screen, you can select Binder Bill, shown here:

 

 

 

  • The popup message appears asking you to confirm the coverage start date.  Once it is correct, select Proceed.
  • A policy is created in bond.
  • An automated email is sent to the customer to thank them for purchasing, provide them with their Consent and Disclosure acceptance and to confirm that they will receive documents shortly.

 

You will receive a popup message like this:

 

 

  • You will now return to bond, where the policy will show.  If there is more than one policy for that customer and you want to open the payment and policy screens, select the policy using the icon, shown here:

 

 

 

Here are some things to notice when you have selected Binder Bill:

 

 

 

Issue Policy

 

Once you have received the insurers documents, the premium is confirmed, and you want to complete the MP process.

 

  • First, you can select the Issue Policy icon, from the side menu.
  • Issue Policy will be greyed out if there is a Pending payment. You will have to wait for the status to change from Pending (example, changed to Paid if payment is successfully collected) before the icon is available and you can issue.

 

This will open a new page with fields to complete or reconfirm regarding the new policy.  You can amend or correct any of these fields and it will correct it in those areas in bond, including the Payments.  The Policy Number is now mandatory. 

 

  • Once you have confirmed all the fields are correct, select Continue. 

 

  • You will then be able to amend or correct any of the Coverage Note page or + Add Row if you want to include more coverage detail.

 

  • Once you have confirmed all the fields are correct, select Continue. 

 

This will send you to the Finalize the payment details screen and you are able to Bill Policy, shown here:

 

 

  • You will return to bond.
  • Check the Payments and correct any payment dates or methods to ensure that they are all accurate. 

 

You now need to add documents to the platform and Customer Profile, which will then get the policy documents to the customer. 

You will have an automated activity called - Dec Page upload Reminder, which you will not be able to close unless the following process is followed:

 

  • Go to Activities
  • There is an activity called 'Dec Page upload reminder'. This is open as it is there to remind you that the dec page needs to be uploaded.  This is also so that the documents can upload to the customers pocket account and attach to the platform to view.
  • In activities, go to Add New.
  • You MUST select the Activity Category as 'Document'.  Document is the only category that performs the action of attaching to View Policy and to pocket. 
  • Follow up and Alert Level can be left as No or None - this is your preference though.
  • Attach to Policy - use the dropdown menu to select the correct policy.
  • Add Note and Drag and Drop the insurers documents like in the image below.  Please note that you must Add Note so ensure that you identify what the document is (example - Aviva Dec or Aviva Insurance documents).  

 

 

 

  • The View /Email policy icon on the right-hand side bar will now capture and show the newly added documents. 
  • The activity - 'Dec Page upload reminder' is closed and the note is added to it, as shown here:

 

 

Correcting wrong attachments

 

If you accidently add the wrong attachment and want to correct it (as this is what the customer will get in pocket), follow this process:

 

  • Go to Activities
  • + Add New
  • If you have the policy declaration pages to attach - complete these fields, like this: 

 

  • Select Save.
  • This saves the documents to bond as the most recent document.
  • Attaches to pocket and will be the only document version the customer can see.
