Using the vertical broker panel, select the Activity icon when completing a quote or within a customers file.
Open the customers file and within the Activities tab, click the + Add New icon, shown here:
A new window will open.
- Activity Category - Choose an activity category that best suits the reason you are adding the activity.
- Follow Up - Selecting yes will provide an option to abeyance the activity to a user and a follow up date. Selecting No will create a closed activity.
- Select an Alert Level - Urgent (red) will keep activity at the top of the activity list, Low (blue) will put activity below any urgent open activities.
- Attach to Policy - Attaching the activity to a policy will add the policy number to the activity and make the activity searchable when selecting only activities for a specific policy number.
- Note - A note can be added to the activity to confirm why you are adding the activity or what you need to do or what conversations were had. You can use as required. There is an expander on the bottom right corner of the Note box which you can drag to open up this box if you are making extensive notes. See below screenshot.
- Drag and Drop here or Browse - allows you to add attachments to your activity. The maximum upload size is 28MB. If the file exceeds this you would need to ask the customer to provide a smaller files OR if photos, add them individually.
Click Save to save.
Wherever you see this icon (3 dots), if the user selects on it, it will provide a menu of further actions. As can be seen in this example, on an activity, it allows a user to perform additional actions on that activity. Not all options here may be available.
Where there is an attachment in an activity, this is shown via the paperclip icon. Click the paperclip icon, the attachments screen will open with a list of the attachments on that specific activity, select the Action icon and Download to view.
Hover over the Assign icon to see the description. If you select this X, the activity will be assigned to the user and the activity is closed.
Hover over the Assign icon to see the description. If you select the green arrow icon, the activity with be assigned to that user and the customer profile screen will be opened. If you are already in the customer profile, it will just assign the activity.
Once you have added your Activity you can:

- Expand the Activities
- Filter the Activities (grouped under Filters)
- Expand the Activity notes (there is a walkthrough video at the bottom of this article)
- Change the order of the Activity notes

This is a permission based feature - To enable these permissions for your team, you will need to go into the admin module, Permissions. Pick the permission group or groups (managers, everyone, DC - it is up to you!) that you want to add this permission to and check off to assign.
- This permission will allow brokers to close any open activity. Using the action menu on an OPEN activity, where the other Close Activity button is not available.
- The release of this feature means that it will no longer be necessary to submit a support ticket for activities to be closed - Time Saver!!!!!
- If used, a note will be added to the activity to state the action and who initiated it.
Again, this is a permission based feature, access shown above.
- This feature will allow brokers to open any CLOSED activity, to add further notes if necessary.
- If used, a note will be added to the activity to state the action and who initiated it (example: Activity Reopened by [email protected] and Activity Closed by [email protected])
There is now a feature that will allow you to modify/amend the description of an activity that you have manually added, in bond.
System created/automated activities will not have this feature and you will not be able to amend them.
Here is an example:
You add a new activity, using the + Add New icon, in the Activity section.
You complete the fields, shown below, including the Note section.
Whatever you put in the Note section shows as the description for the Activity, once it is saved, like here:
But, as this is a MANUALLY added Activity, you can now go ahead and amend this, in case that you change what you require or have made an error.
Select the ellipsis (3 dot) icon within the relevant activity, and select Edit Description, shown here:
The field will open for Description for you to correct and Save.
The activity, with its changed description, is now saved in Activities, shown here:
You are able to perform these changes on manually added activities that are opened or closed.
