Amend policy has a different function to Change policy.
Change policy will be used to change the risk with the underwriters, and there is an article for that in this knowledge base called - 'Manual Product - Change policy'.
Amend policy will allow you to correct a few fields on the customer profile page, including:
- Insurance Company and Broker code
- Billing method
- Policy number
- Policy effective and end date
This feature is important if you need to adjust something on these fields at the very start of the policy. Perhaps you are waiting for a policy number and you need to change it in bond a few days after the policy was created in bond.
IMPORTANT : Once a Change Policy action has been taken, the Amend Policy icon will disappear. This is because the amend feature is disabled once a policy change has come into effect.
There is an admin permission required for you to be able to use this feature. Those with access to amend permissions will be able to go here to add:
admin module, permissions.
Choose the permission group and/or groups to add the permission to.
Go to the section for bond, check the box next to Amend policy, to assign the permission to the group.
Here:
- Select the Amend policy icon (the description appears when you hover over the pen icon), shown here:
- The tab will open and you can update the fields that you need to (as mentioned in the above list).
- Select Submit to save the changes.
- A pop up message will ask 'Are you sure'. Select "Yes" if you are. No will allow you to go back and amend.
- A "Policy Amended" activity will be created in bond - it will be closed and includes notes of the changes that were made, like here:
The transaction screen will update, if applicable.
(For example, if the policy number changes, the Transaction screen will show the updated policy number.
The Underwriting tab will update, if applicable.
- IMPORTANT : Once a Change Policy action has been taken, the Amend Policy icon will disappear. This is because the amend feature is disabled once a policy change has come into effect.
- If you choose Amend policy and change from Direct to Agency Bill, you CANNOT set a policy fee. Fees can only be added at the initial set up stage.
- You cannot amend a policy fee here, you will need to change that via the Transactions tab and Amend. Only users with the Amend Transactions permission will be able to action.
- When the policy status is cancelled, the Amend policy icon will be greyed, you cannot amend after a policy is cancelled.
- When the policy status is Void OR Not Issued, the Amend policy icon will also be greyed.
- When the policy status is Pending Cancellation following registered letter, the Amend policy icon will be greyed.
On a Manual Policy, once you have a renewal to process, Lapse and Renew icons will be greyed out if you use the Amend Policy feature on the new policy (for the new term).
Here is an example:
- Select Amend Policy
- Change details on the form and select submit
- Select the old policy in bond (one prior to the changes)
- Renew and Lapse buttons appearing on action bar to the right of bond will be greyed out.
